Submit Data to the Danish National Archives

Digital Preservation in the Danish National Archives

When you have produced the information package or information package for statistical files and tested it with the Danish National Archives’ validation tools, ADA or ASTA, it must be submitted to the Digital Preservation team at the Danish National Archives for quality assurance.

If the information package or information package for statistical files is approved, it will then be transferred to the long-term preservation storage.

Information packages or information packages for statistical files can be delivered physically or digitally depending on their size and classification level. If the submission is classified according to the Ministry of Justice’s Security Circular, please be aware of the special procedures that apply to the submission.

Digital Submission of Unclassified Information Packages or Information Packages for Statistical Files

If the information package or information package for statistical files is less than 1 TB, you have the option to submit digitally via the Danish National Archives’ SFTP solution. Below you will find guidance for digital submission, including how to access the SFTP solution and the special conditions that apply to digital submission.

When submitting, remember to complete and attach a delivery note for digital submission of information packages or information packages for statistical files.

The delivery note must be attached to the request you send to digitalaflevering@rigsarkivet.dk according to the guidelines “Digital Submission of Data to the Danish National Archives.”

If partial resubmissions are required in connection with corrections to the information package or information package for statistical files after quality assurance, the SFTP solution can also be used for this purpose. A new agreement with Digital Preservation must always be made if you wish to use the solution for partial resubmissions. The same guidelines and conditions apply to partial resubmissions.

Physical Submission of Unclassified Information Packages or Information Packages for Statistical Files

If the information package or information package for statistical files is larger than 1 TB, it must be physically submitted to the Danish National Archives. The Danish National Archives recommends that you send the information package or information package for statistical files by registered mail or deliver it personally.

Attach the filled-out delivery note found below.
It is your responsibility to deliver data securely to the Danish National Archives. The Danish National Archives recommends that ALL data is delivered on an encrypted medium.

If media are encrypted, this must be done with either BitLocker or VeraCrypt. The decryption code must be sent separately to digitalbevaring@rigsarkivet.dk before delivery. Remember to include the information package ID (AVID for database submissions or FD for statistical file submissions) and the Danish National Archives’ case number.

If you wish to deliver the information package or information package for statistical files in person, the reception at the Danish National Archives has the following opening hours:
Monday-Thursday: 9:00-16:00
Friday: 9:00-15:30

Classified Information Packages or Information Packages for Statistical Files

Information packages or information packages for statistical files classified as “For Official Use” or higher according to the Ministry of Justice’s Security Circular may only be delivered in person and under a specific agreement with the Danish National Archives regarding receipt. It is important that the classification level is communicated to the archivist prior to submission.

When your information package or information package for statistical files is ready for delivery, contact the Danish National Archives at klas-aflevering@rigsarkivet.dk to arrange the delivery time. These materials may only be received by a security-cleared employee. Therefore, you should expect up to 2 weeks of waiting time before the submission can take place.

Be aware of the Security Circular’s rules regarding transport and transfer of classified information as well as labeling of classification level on media and delivery notes. If the Security Circular’s rules are not followed, the Danish National Archives reserves the right to refuse receipt.

The Danish National Archives recommends that you deliver the information package or information package for statistical files in person or use an approved courier according to the Security Circular’s rules. Delivery can only take place at the agreed time.
