Ordering of records and rules for loans

When you wish to loan records to use in a reading room, you must order them from the repository. You order records in the archive database Daisy.

You can order records during your visit to one of the Danish National Archives’ reading rooms, or you can order them from home prior to your visit to the archive.

If the records in question are in a remote repository, we recommend that you preorder them. Then the records can be ready for you when you visit the reading room.

Exceptions

  • Records that are in the process of being delivered by the creator cannot be ordered until the process of receiving and registering the records is complete.
  • Scanned records cannot be ordered for use in a reading room. You can instead view them online. There is a link from the archive database Daisy to the image viewer, where you can view the scanned records.

A user profile is a prerequisite for placing an order

You must create a free user profile at the Danish National Archives if you wish to order records through Daisy.

When you order records via Daisy, you will see the expected processing time for the records you are currently ordering.

You will receive an email when your orders are ready for you

You will receive an email once we have processed your order and the records are ready for use.

A user profile gives you various opportunities

You cannot order records in the archive database Daisy without a user profile. However, there are also other useful features of the user profile. Once you have created your user profile, you can:

  • Follow your orders in Daisy and renew them online
  • View your previous orders in the database
  • Re-order the records on the list of your previous orders

You cannot create multiple profiles at the same email address

If you share your email with someone else, you cannot both create yourselves as users on the same email address.

If you don’t have an email address?

You can create a user profile, even if you do not have an email address. However, you cannot do it yourself.

You must contact one of the Danish National Archives’ reading rooms in person. In the reading room, you can create a user profile that you can use when ordering records.

However, when the Archives do not have your e-mail address, we cannot send a message to you when the records you have ordered are ready for you in the reading room. You may also experience other restrictions in your user profile if you create it without specifying an email address.

How long does it take to process an order?

The average processing time is half an hour for records in a repository close to the reading rooms.

Some of the reading rooms’ collections are in remote repositories, and special processing times apply for these records and may vary.

Rules for loan of records

The rules for the loan of records from the Danish National Archives are valid from October 14 2016.

When ordering records in the Daisy archive database, please specify when you wish to use them. The desired date of use may be up to 6 months after the order date.

The number of physical units you may order

For the local reading room

  • Number per day: 15
  • Total number: 15

For a remote reading room

  • Number per day: 10
  • Total number: 10

The length of the loan period

General loan period (1st period)

For the local reading room
15 days from the arrival of the records to the reading room.

For a remote reading room

30 days from shipment of the records from the lending reading room

Extended loan periods (in total)

For the local reading room

90 days (75 days from the expiry of the first loan period).

For a remote reading room

60 days (30 days from the expiry of the first loan period).

Please notice

Loans cannot be renewed if:

  • Another user has ordered the records
  • The maximum loan period is expired
