Acquisition & Government Services division is responsible for selecting and collecting the documentation that can provide the most accurate reflection of Danish society in the future.
Purpose of Acquisition & Government Services
We are responsible for selecting and collecting the documentation that can provide the most accurate reflection of Danish society in the future. We also make sure that the documentation we collect is submitted in a reusable format. All new documentation submitted to the Danish National Archives therefore goes through the Acquisition & Government Services division. All state authorities, regional authorities and approximately 50 municipalities submit their documentation and research data to the Danish National Archives. Private individuals decide for themselves if they wish to submit something to the Danish National Archives. Our responsibilities are set out in the Danish Archives Act.
Decisions
We issue decisions on which (and whether) records/public administration documents should be submitted to the Danish National Archives. These decisions apply to the entire public sector. In addition, the division assesses whether records/documentation reported by the private sector should be included in the collection of the Danish National Archives.
Approval of IT systems
We assess and approve preservation-worthy government IT systems to ensure that they can be archived.
Preparing documents and data for archiving
We prepare paper-based documentation, data from IT systems and research data for archiving.
Regulatory oversight
The division also act as the supervisory authority of data and documents from public sector authorities in a general sense (archive creation).
Material from the private sector
We engage with the private sector with a view to obtaining eligible research data as well as consider research data reports submitted by the private sector. This includes private individuals, associations, foundations, organisations and companies that we receive material from.
Secretarial functions
We are also responsible for guidance and development services in relation to the above and secretariat functions for K-udvalget (the Municipal Committee) and the Regions Committee.
The Municipal Committee is responsible for the preservation and transferral of municipal records and for ensuring that these records are accessible to the public.
